The following examples explain how and why we process your personal data, as well as the legal basis on which we carry out this processing.

To generate wills and other services: Where you ask us to provide services to you, we will process your personal data to provide these services to you. Our use of your personal data in this way includes includes storing your personal data on our secure system. We are becoming a paper-less business which means, where possible, we will communicate with you via email and telephone and produce electronic documents via our systems.  We need to process your personal data in this way to enter into and perform the services for you. If you do not wish to provide us with your personal data in this way, you will be unable to use our services.

To make your browsing experience better: We will also process your personal data in order to provide you with a more tailored experience when you visit our website. For example, we may use your personal data to tailor our website, make sure it is displayed in the most effective way for the device you are using. We also use various third party cookies to help us improve our website (more details are set out in the sections below) but we will not share your personal data with the third party analytics and search engine providers that assist us in the improvement and optimisation of our website.

We will also process your personal data for the purposes of making our website more secure, and to administer our website and for internal operations, including troubleshooting, data analysis, testing, research and statistical and survey purposes.

To create anonymised data sets: We will also process your data into an anonymised format where it can be used for press publication (for instance to show the age range of our customer, or geographical areas where we provide a high volume of service) and to help charity partners raise money through gifts in wills by helping them to evaluate the efficacy of their marketing campaigns.

If our business is sold: We will transfer your personal data to a third party: in the event that we buy or sell any business or assets, in which case we will disclose your personal data to the prospective seller or buyer of such business or assets (at all times in accordance with all applicable data protection laws); or if Simple WIll LTD or substantially all of its assets are acquired by a third party, in which case personal data held by Simple Will about its customers will be one of the assets transferred to the purchaser.

In each case, the legal basis on which we process your personal data in these circumstances is our legitimate interest to ensure our business can be continued by a purchaser. If you object to our use of your personal data in this way, the relevant seller or buyer of our business may not be able to provide services to you.

What anoymised data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Contact forms used on www.simple-will.co.uk are used specifically to generate an enquiry. If a user wishes to subscribe to our newsletter they are confirming that they are happy to be contacted with future communications. 

Cookies

Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics

The pages you visit and the length of time spent on specific pages will be recorded and the information made available on our Google Analytics account. However, individual users cannot be identified and the information is used to improved website performance only. 

Who we share your data with

Occasionally, we produce sales ans status reports with our introducers. They can view your personal data but will not have access to it. 

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Subscriber information is kept indefinitely until the user unsubscribes from further communication. 

If you make an enquiry on our website but do not take out a service with Simple Will, we will retain your data for a period of 6 years after to ensure that we are able to assist you should you have any questions or feedback in relation to our services.

Due to the nature of the services and pursuant to Article 17(3) GDPR, if you complete a will using our service we will securely store your data indefinitely. This is in order to protect against legal claims, as well as to provide supporting information if your will is ever contested.

Where we have processed your personal data to provide you with marketing communications with your consent, we may contact you at least every 12 months to ensure you are happy to continue receiving such communications. If you tell us that you no longer wish to receive such communications, your personal data will be removed from our list.

What rights you have over your data

If you have an account on this site, have subscribed to communications, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
